The challenge
NAKI ran its membership the way most professional associations still do: applications on paper or by email, manual approvals, payments reconciled by hand, and membership cards and certificates printed and posted. The secretariat had no live view of who had applied, who had paid or who was coming up for renewal - and members had no way to apply, pay, renew or prove their membership online.
What we did
- 1Built the whole membership lifecycle around one platform: online application forms, a review and approval workflow for the secretariat, and automatic activation the moment a member is approved.
- 2Integrated online payments - M-Pesa and cards - with invoices and receipts generated automatically for every application and renewal.
- 3Added secure OTP login and a member portal dashboard, so every member can see their status, renew and update their details in one place.
- 4Automated credential issuance: digital membership cards with QR-code verification and digital certificates, delivered as soon as membership is confirmed.
- 5Set up annual renewals (up to five years in advance) with automatic reminders before expiry via bulk SMS and email, so members never lapse silently.
- 6Gave the secretariat a renewal-status dashboard and admin reporting, plus a public member directory where membership can be verified by QR.
